Client changing their own booking

I think I found the glitch that several of my clients have been having. It seems that if I go in and book a class for them (because they prefered to pay by etransfer not by stripe) even if I “give a package” of 10 classes, and then as admin I book all those classes manually (please have block booking soon for admin) when they login to cancel and rebook a class. They can cancel but not re-book. Unsure what’s the missing code, but there’s some disconnect.

Also it seems even if I “give a package” manually it is hit and miss whether I see the option of how to pay for the class. So I have to go in and manually count down the number of classes I book for them.

When an appointment is made with package credit the appointment is tied to the customer’s package, that’s how the system knows which customer package to credit if the appointment is cancelled. So it sounds like for some reason appointments are being made on the manage appointments page but not being tied to their package. I will look into this.

re: bulk appointments, you can specify the number of appointments you want to make per customer and do that all at once? I’m not sure if that’s what you mean. I’m trying to think of a better way of doing bulk imports but often there are booking forms to be completed, package balances to be updated, etc. as part of the booking process, all of that information would need to be supplied in the import. I’m struggling to think of a better way of doing this (but I will give it some thought!).

Again not sure why that’s happening but it would explain why some customers are not being credited: the appointments are not being tied to the package. Clearly there is some work to be done here!

for multiple bookings when in the system as admin:
client directly etransfers me $ for a 10 class pass and asks me to book them in for 10 classes over the next 5 weeks/ twice a week. I “give them a package”. Then to book them in, I have to go to each date in turn, click + add person, then find their name from drop down box, click confirm, choose payment method (which sometimes does not come up as an option) and then move to the next date and repeat that same process 10 times. When a client books for themselves, from their interface they can click on and choose multiple classes and then book and pay (or use credit) and it’s much simpler they do not have to book single classes 10x over.

hope that explains my dilemma. As I have a older age group some of whom are quite tech phobic, I end up doing this for them a LOT…

Ok I get what you’re saying here - sorry!

If the customer has a package the system should definitely ask if you want to use their credit if you’re booking for them - I will check on that.

As for bulk bookings: I think this really needs to be done - probably as a separate or new page. You can bulk delete / move appointments but I get the frustration trying to book people in on more than one date and managing their payments. There’s really a lot of development work going on at the moment and this is quite a big job so I can’t make any promises as to when this will be released (realistically in a month or two) but this is definitely on the list.

It’s taken some time, but I have finally got everyone to book themselves and those that pay by bank transfer choose the package set at £0.00 so their place is booked without going through stripe and they automatically get the Zoom link for thd class.
This has cut my Admin time right down…
